Someone asked about the cost of organizing a walkathon.

It depends on what all you need to cover but here is an estimate. Assume about $10 per person if you have 200 or more people, but then add the general expenses. For example, my kids school walkathon, with about 200 participants, cost just under $2000. Note that we had no facilities or police charges. Here is a break down:

Per Person: T Shirt = $5.50 at most, Lap cards, lanyards, small prizes = $2.50, Miscellaneous = $2 Total = no more than $10 per person
Fixed:
Yellow tape and cones to mark the course = About $150 for a schoolyard event
Extra trash pickup or janitorial services= ??
Outhouses = ??
Rent, borrow or purchase canopies and tables = ??
Have concessions items donated or charge for them = net profit only
Do you need to pay for facilities or police supervision = Call officials who are associated with your site
Do you need to cover insurance or is that part of a school where the insurance would be covered (check with principal)?

Other readers, if you have expenses I haven't listed, please feel free to add a comment. Thanks, Lee

Hi Kate - thanks for the feedback on DoJiggy. Please let us know if you have any suggestions on the pledge page formatting; we would love to improve that based on your experience. Regarding Paypal, it is pretty easy to setup, and their fees are good, but we do see that users get nervous/confused sometimes when they leave the site, so we always recommend a payment processor like IATS Ticketmaster or Dharma Merchant Services. It really improves the user experience to not have to leave the site to make payment. Thanks, Rod

Nice to hear from you Kate! Thanks for the info. This will be of help to the next people who are figuring out which services to use. If you have any more comments I'd really appreciate if you could add them here or send them to me.

Hi - We met through The Groupery. Based on your advice, we checked out DoJiggy and they've been great. The pledge page formatting is wonky, but the site seems to work well. One gotcha: We have to switch from PayPal to a more robust payment processor if we want our donors to be able to pledge per lap. We're doing this, but it adds some set up time to the whole experience.

I am very pleased to know that there is help out there for me. I am a case manager at the Sickle Cell Association. The agency is a not for profit 501C3 organization. Sickle Cell Disease is a debilitating disease that affects our red blood cells. This genetic disorder affects millions across the world and the numbers are on the rise. With no cure it is a hard battle to fight. This will be my first walk-a-thon and the Associations first as well. I have gotten some great tips off of the website and look forward to receiving the book.

Thanks Roger! Great idea. I also hope to write about beads soon, which can even be an adjunct fundraiser.

This is a great idea for those walk events that require many laps.

Another method was used at a walk I participated in that required only 5 laps (each lap was 1 mile). They gave each walker a rubber band every time a lap was completed. The walker put the rubber band around his/her wrist as a reminder of the number of laps completed and a confirmation at the end of the entire walk. This method would not work well if too many rubber bands had to be worn. In that case, your lap card if a fantastic idea.

I love the ideas you are sharing!

Hello Lee,

I am so excited to find your web site! I have brought the idea of a walk-a-thon to the attention of the director at my daughter's preschool. I think it is a great alternative to typical fundraisers like selling cookie dough and candy. I would love to read a copy if your E-book.

Thanks!
Jeanelle
